An important advantage of biometric time and attendance systems that use the cloud computing platform to deliver information in real-time via the Internet, is the time saved when administering payroll functions.
Registered labour provider Kaufela Staffing Solutions, has, in the year since implementing ERS Biometric’s fingerprint-based identification systems on some of their sites, experienced a 70% reduction in time taken to produce pay slips of the 1200 labourers the company supplies.
Kaufela provides people and services to a selection of medium and large enterprises in a cross section of industries ranging from food and beverage, retail, power generation, manufacturing, transport and logistics. The company also offers temporary and permanent staff recruitment of white-collar workers, particularly in the financial, secretarial, skilled technical and general office staff. Another division is the payroll bureau service.
Director of Kaufela, Gert Jacobs, is a firm advocate of the ERS Biometric’s Internet-based T&A system. “I can substantiate the claim of a 70% time saving in administration as many of our clients use different formats to send through data ranging from non-Internet based fingerprint ID systems, Excel spreadsheets, manual clocking and even via Word documents. This means that inputting of data into our software is time-intense. The ERS system integrates seamlessly into our VIP Software, and is accessible online all the time.”
The company has five permanent ERS Biometric units installed on various sites around Gauteng and Mpumalanga. In addition, some 150 workers clock in and out via an SMS to a designated short code for the ERS website to register the activity. This cellphone number acts as the worker’s unique ID. An SMS is sent back immediately to confirm receipt of the clocking.
This system is used when employees need to travel to different locations to undertake work or when there is no fingerprint-based identification device available. ERS make use of a cellular network tower to track the location and plotted on Google Maps, verifying that the employee is where claimed to be.
“We are still using another biometric system on some sites but we intend changing to the ERS system as we have had better success in the actual identification of workers such as boiler makers and labourers who have worn fingertips.”
The payroll and timekeeping administrator of Kaufela, Andries Naude, added that implementation of the ERS system proved extremely easy with staff up and running within a week of training. “The most positive aspect is the availability of information in real-time and the on-line technical support provided with immediate response to queries.”
