Local software company, PhiBlue Technologies, has introduced X-PhiLE, a service developed to enable secure, auditable communication of any file type among business partners.
As a secure electronic document courier service, X-PhiLE automates aspects of business partner communications and addresses the problems experienced by many companies of quickly delivering and receiving confidential or sensitive files and documents at the most cost-effective rate possible. The service is also ideally suited to the communication management of RFP/RFI/RFQ to tender panels.
"Organisations constantly interact with suppliers and partners," says Paul Marcellin, MD of PhiBlue Technologies. "This communication takes place at all levels within a company and forms a fundamental part of conducting business.
"The need for effective business partner communication is a result of business evolving to encompass entire supply chains.
"At the core of communication among business partners is specific information that the receiver may or may not expect, which must be understood by the receiver in the same way as the sender intended.
"Communication within the chain is important as it is the ultimate driving mechanism for customer, partner, employee and supplier relationship management," Marcellin says.
"X-PhiLE manages the communication of volumes of information to ensure clear and confirmed understanding of the issues affecting all parties.
"This Internet-based, automated communications tool controls and monitors the sending and receiving of information; it enables constant management of information being shared within a company and between a company and its distributors, suppliers and service partners.
"X-PhiLE is the registered letter of the electronic world. Sending information across e-mail is similar to sending a postcard through the traditional slow mail system of the post office," Marcellin says. The sender has reasonable faith that the message has been delivered and received by the intended recipient, but the route it took to get there and how many people intercepted and read the communication along the way is unknown.
"With X-PhiLE, the sender can be sure the information is sent along the most direct route possible and that the person it was intended for receives it," Marcellin says. It provides both the sender and receiver with an easily auditable trail with which to track any communication.
"When a file is sent using X-PhiLE, the intended recipient receives e-mail or SMS notification of the sent item. To retrieve the information that person must log on to the system," Marcellin explains. "The sender can monitor the status of the file and can be notified when the information has been accessed by the recipient. The file may also be withdrawn from the system should the sender no longer want the information to be received. Although X-PhiLE is not an alternative to e-mail, the latter is an inappropriate tool for delivering confidential information or in circumstances where it is important to have a certainty of delivery.
"Automating communication with X-PhiLE can help prevent misunderstandings, loss of information, non-receipt of documentation or security breaches when 'for-your-eyes-only' files are being distributed.
"The confirmed transfer and management of information within a distributed business environment is critical," Marcellin says. "The consequences of poor communication can range from simply irritating to mission-critical. X-PhiLE manages the communication process so that there are no unknown breakdowns in the distribution of information."
