Visitor management for businesses and office parks

Managing visitors is an essential security task for organisations of all sizes, but especially large businesses that need to keep tabs on who enters and exits their premises and their reason for being there. Not only is visitor management a real-time exercise to ensure security of the property, but administrators may need a visitor management system that also allows for historical searching and analysis.

WizzPass is a local company that developed a flexible software platform for managing visitors. Ulrich Stark, executive director for WizzPass, says the WizzPass solution is customisable for any business, building or business park, and the system is cloud based, which means there is less technology required on site.

WizzPass is fully PoPIA (Protection of Personal Information Act) and GDPR (General Data Protection Regulation) compliant and Stark says the company does not own the data it collects, it simply stores it for clients as per the contract and with the appropriate information security protections in place.

Its visitor management solution starts before the visitor arrives, allowing hosts to pre-register visitors automatically through calendar invitations or via a web-based dashboard. The visitor then receives confirmation, a Google Maps link to the location and a secure link to pre-register their information online, and complete any safety inductions or pre-screening before their arrival. Companies can also choose to enable a branded smartphone app for their visitors, which can direct visitors to the parking area or building, and allow them access through a digital access card.

A reception self-service kiosk can also be used to capture visitors’ details on site, however, if the visitor has pre-registered, they do not need to enter their details again. These kiosks are customised per company and branded with the customer’s details and can include any induction videos or health and safety screening required. WizzPass was implemented recently by system integrator ISF SFP for BP South Africa’s visitor management requirements (www.securitysa.com/9557r).

The methods companies can choose to use for identification are varied, and include various touchless check-in options, from QR codes to the latest facial recognition technologies. While self check-in is available, handheld scanners or a dashboard where the receptionist captures visitors’ details can be enabled as well.

Once checked in, the system alerts the host that their visitor has arrived, or security personnel can be alerted if an unauthorised vehicle or person tries to gain access to the premises. Administrators also have a dashboard which provides real-time and historic information on visitors for each building or across all buildings.

The solution has also been adapted for COVID-19 screening for both visitors and staff as the lockdown in South Africa starts easing (www.securitysa.com/10490r). The COVID-19 screening ensures that employees and visitors meet the lockdown regulations before entering a building, and if someone contracts the virus, all people who may be infected as a result can be traced, advised and tested.
